IAKINVEST

Privacy notice

Effective October 22, 2026

IAKINVEST INC. operates a private internal dashboard for managing its residential properties, vehicle rentals and business finances. The dashboard is intended for the owner/administrator, not public account registration. This notice describes the dashboard's handling of personal and financial information.

Information and purposes

Records may include names, contact details, addresses, identification and insurance documents, contracts, vehicle details, rent schedules, payment history and business expenses. We use these records to administer rentals, communicate about accounts, reconcile payments and maintain business records. Do not provide documents that are unnecessary for those purposes.

Connected bank accounts and Plaid

Bank connections are optional and require the account holder's authorization through Plaid Link. We use transaction dates, amounts, descriptions, transaction identifiers and account identifiers such as masked account numbers to reconcile payments and review uncertain matches. IAKINVEST does not initiate money transfers through this integration or receive your bank login password. Access tokens are stored on the server with encryption and are not exposed in the dashboard.

The integration may remain unavailable until Plaid and the financial institution approve access. Updates may be delayed. Pending, ambiguous or corrected transactions require review; matching does not establish the purpose of every payment. Plaid's handling of information is described in its End User Privacy Policy.

QuickBooks invoicing

When the owner authorizes the optional QuickBooks connection, IAKINVEST can create car rental invoices in the selected CPD Logistics INC company and read linked invoice/payment records for reconciliation. Invoice data can include the customer reference, vehicle description, rental period and amount. The integration does not collect payment card details or initiate card charges. The accounting authorization is separate from Plaid bank access. Disconnecting stops future synchronization; existing invoices remain in QuickBooks and necessary accounting receipts remain in IAKINVEST. Requests to delete imported QuickBooks data are reviewed by the owner under the retention procedure below.

Service providers and disclosures

Cloudflare hosts the application and private storage. Intuit provides QuickBooks invoicing and payment records when that connection is authorized. Plaid supplies authorized bank transaction access. When SMS MFA is configured and activated, Twilio Verify processes the registered administrator phone number and authentication messages to verify sign-ins. We do not store SMS codes in business records. When the administrator chooses an AI document scan or assistant feature, the selected document or relevant records may be sent to DeepSeek for that task. AI features are separate from bank authorization; bank synchronization does not require sending bank transactions to an AI provider. We do not sell personal information or use Plaid data for advertising. Information may also be disclosed when required by law or necessary to protect the service and legal rights.

Access and security

Business records require an authenticated administrator session. The site uses HTTPS, password hashing, private storage and server-side authorization. Hosting storage is encrypted at rest. No security measure eliminates all risk. SMS multi-factor authentication is available through the Security page and becomes mandatory for new sign-ins only after the owner completes phone verification. Until activation is completed, MFA must not be described as operational.

Retention, disconnection and deletion

We retain information while it is needed for the active business relationship, payment reconciliation, accounting, disputes or applicable recordkeeping obligations. Different records require different retention periods. Imported bank descriptions and raw Plaid transaction payloads are minimized after 90 days during synchronization, bank-state access and scheduled bank processing. Minimal transaction identifiers/hashes, dates, amounts and reconciliation status may remain to prevent duplicates and detect corrections. Closed customer relationships are reviewed annually for unnecessary document copies; accounting records are reviewed at seven years after the relevant reporting year, subject to legal holds and continuing recordkeeping needs. This is a review trigger, not a claim that every record must legally be kept for seven years.

The administrator can disconnect a bank in Bank connections. Disconnection revokes the integration's access token and stops future retrieval for that connection; it does not automatically erase previously imported receipts or business records. The separate Delete bank data action revokes access and permanently removes the saved bank connection and imported bank activity after explicit confirmation. Minimal accounting receipts remain, with direct bank transaction references removed; deletion of accounting receipts requires a separate review. Recoverable Trash is not permanent deletion. To request access, correction or deletion, contact us below. We verify the requester's identity and authority, review records and legal retention needs, and explain any information that must be retained. The owner targets a response within 30 days, subject to any shorter applicable deadline, and records the scope, verified authority, decision and completion or retention reason. Non-bank document deletion requires administrator review. Provider-managed recovery history may retain earlier copies for its recovery window; completed erasures must be reapplied before using a restored dataset. We do not promise immediate physical erasure from provider backups. The owner reviews this procedure at least annually and following material changes or incidents.

Your choices and requests

Only connect bank accounts you are authorized to access. Tenants and rental customers do not need to connect their own bank accounts to this internal dashboard. Contact us to ask about your information, correct an error, request deletion, or raise a privacy concern. We obtain the agreement of tenants and rental customers before collecting and storing their personal information and documents. Any additional use requiring separate consent must be authorized separately. Providing this notice alone does not replace that consent or the bank account holder's separate authorization through Plaid Link.

Cookies and audience

The application uses an essential secure session cookie for sign-in and browser storage for interface preferences. It is not intended for children. Data may be processed by service providers in locations where they operate; we do not promise US-only infrastructure residency.
